EXHIBITOR TERMS & CONDITIONS – KDEM EVENTS

For the purpose of this agreement, the Karnataka Digital Economy Mission (KDEM) will hereinafter be referred to as “KDEM,” and the participant(s) who book exhibition space at a KDEM-organized event will hereinafter be referred to as “Exhibitor(s).”
Exhibition space/stalls will be allotted to Exhibitor(s) strictly on a first come, first served basis.

Allotment will be confirmed only upon receipt of a duly filled application form and confirmation of booking from the Exhibitor(s).

KDEM reserves the right to alter the exhibition floor plan and relocate any Exhibitor’s space/stall as required. Every effort will be made to assign Exhibitor(s) to their originally selected or equivalent location.
Exhibitor(s) are required to ensure proper care of flooring, walls, and all event structures during stall setup, operation, and dismantling.

Hazardous or inflammable materials are strictly prohibited within the exhibition space. Exhibitor(s) must implement appropriate safety measures at all times.

KDEM reserves the right to repossess or reassign any space/stall not occupied by the Exhibitor(s) at or before the time of inauguration.

Sub-letting or assignment of the space/stall is not permitted without prior written consent from KDEM.

Any damages resulting from fire or negligence will be chargeable to the Exhibitor(s), who shall be liable to compensate KDEM for the same.
All demonstrations, promotions, advertising, and marketing activities must be confined within the assigned stall area. Aisle space must be kept clear at all times for visitor movement.

Audio-visual displays are allowed, provided the sound levels are kept low and do not cause disruption to neighbouring stalls or attendees.

KDEM will not be responsible for any errors, omissions, or misquotations that may occur in official publications or exhibition collateral.
Exhibitor(s) must ensure that interior decoration and setup are completed before the event inauguration, according to the official schedule provided upon confirmation of participation.

Stalls must be vacated within the designated timeframe outlined in the event schedule. KDEM will not be responsible for items left behind or security after the close of the exhibition.

Each Exhibitor must ensure that their stall remains open and appropriately staffed during official exhibition hours.
Cancellations received on or before 30th June 2025 will result in forfeiture of all payments made toward the booked space/stall.

No refunds will be provided under any circumstances after this date.
While KDEM will make adequate security arrangements, it does not assume liability for any loss or damage to the Exhibitor’s equipment, display materials, samples, or personal items.

Participation in the event is at the Exhibitor’s own risk, and KDEM shall not be held responsible for unforeseen incidents or losses arising from participation.
KDEM shall not be liable for any delay or failure in fulfilling its obligations under this agreement if such delay or failure is caused by events beyond its reasonable control, including but not limited to: Force majeure, acts of God, natural disasters, fire, floods, earthquakes, pandemics, explosions, strikes, lockouts, riots, war, civil disturbances, government actions, or any state of emergency which renders it impossible or impractical for either party to perform.

In such cases, all prior agreements, commitments, or negotiations related to the transaction will be considered null and void.
All disputes arising out of or in connection with this agreement shall be subject to the exclusive jurisdiction of the competent courts in Karnataka, India.

Change in Policies / Dispute Resolution

Karnataka Digital Economy Mission (KDEM) reserves the right to modify, update, or amend the Privacy Policy, Terms & Conditions, Cancellation and Refund Policy, or any other applicable terms at any time, at its sole discretion, with or without prior notice. Any such changes will become effective immediately upon being published on the official website.

Your continued use of the site or participation in any KDEM-managed service or event following such changes will constitute your acceptance of the revised terms.

In the event of any dispute, the decision of the KDEM Secretariat shall be considered final and binding.
